The Business Challenge
Capilano College values innovation and continuous analysis of it’s effectiveness. They strive to meet the emerging needs of faculty, staff, students and community. Therefore, when it was time to improve the efficiencies of their on campus Duplication Centre, Capilano chose NowPrint by NowDocs.
The Duplicating Centre provides print services to all college faculty, staff and administrators. Like most college institutions, Capilano has copiers throughout its campus. They realized that copiers were less efficient and more expensive to maintain than their digital print equipment in the Duplicating Centre.
The process for ordering print from the Duplicating Centre was inconvenient and time consuming. Customers would have to travel across campus during business hours to drop off their documents and fill out the proper paper work. If customers did not want to take the time to travel across campus, they could send their documents and paper work through intercampus mail, which would add at least one day to the processing time. The third option was to send their documents via email, which inevitably lead to several emails between the Duplicating Centre and the customer.
To compete with the copiers around campus they needed an easy, convenient and cost effective way for users to order print from the Duplication Centre. To accomplish this mission, Capilano needed a solution that was easy to use and implement.
The Solution
NowPrint provided solutions for both the customer and print operator. The software allows the customer to upload, configure and proof their documents 24 hours a day, 7 days a week. NowPrint uses a standard PDF format and gives the user the ability to electronically proof their documents. By viewing exactly what is going to be printed, the users and Duplicating Centre have been able to avoid the pagination errors that sometimes occurred when sending documents electronically between different computers. With NowPrint, the print operators are confident that the print jobs are accurate with the finishing options the customer selected.
“It is important to allow our faculty and staff the ability to order documents when and where they want to. If a faculty member finishes a document at home, on Sunday night, they can log onto the NowPrint Duplicating Centre site, upload, configure and proof their document. They are confident the Duplicating Centre will receive it first thing Monday morning,” said Dave Callow, Duplicating Centre Manger, Capilano College.
NowPrint provides additional efficiencies for the Duplicating Centre. The system is pre-configured to provide end users with pricing estimates. It also allows the end user to charge the work back to their department. With over 14,000 orders per year, automating the estimating process alone provides an avenue for significant savings. At one minute per estimate, this provides the opportunity of saving 6 man weeks per year.

Implementation and Training
By implementing a web based ASP solution, Capilano College was up and running with NowPrint in no time. According to Dave Callow, “Most of our users are comfortable using computers and needed little or no training to use the NowPrint system.”
System Usage
Capilano’s goal was to move work being done on the copy machines, located throughout the campus, to their Duplicating Centre. “After installing NowPrint, we saw a 300,000 page decrease from the copy machines while gaining a 500,000 page increase to the Document Centre in the first 9 months of this year.”
NowPrint provided Capilano College’s Duplicating Centre a real presence on campus. It delivered the ease of use and convenience they needed to compete with the copiers. “NowPrint has provided us with the solution we were looking for. We look forward to its increased utilization over the coming years,” said Dave Callow.
